Onboarding: telling NOB about your company
The onboarding is an eight-step questionnaire. Everything NOB does later (which obligations appear, which taxes it estimates, how it books your documents) derives from these answers, so take ten minutes and answer honestly. You can change any answer later in Engine room → My company; every change creates a new dated profile version, so periods before the change keep the old rules.
1. Identity #
Type the company's NIP and press Search in GUS: with a production GUS key (see Settings) NOB fills the name, address, REGON, KRS and legal form from the public register; without one it uses the test environment, so type them by hand. Choose the legal form (sp. z o.o., JDG, spółka cywilna, jawna, komandytowa, P.S.A., S.A., foundation…).
2. Tax regime #
- Books: full books (księgi rachunkowe, mandatory for companies) or the sole trader's revenue-and-expense book (KPiR) or the lump-sum register (ewidencja ryczałtu).
- Income tax: CIT (9 % small taxpayer or 19 %), Estonian CIT, or for sole traders PIT scale, flat 19 % or lump sum (ryczałt) with its rate.
- VAT: active (czynny) or exempt under art. 113 (turnover below 200,000 PLN). Registration date, monthly or quarterly periods, EU VAT registration (VAT-UE), cash method, OSS.
- Small taxpayer / starting business flags, which unlock lower rates and one-off depreciation.
- Financial year: for a new company the first year can run to the end of the following calendar year; NOB uses this for the annual statement deadlines.
3. People #
Partners and board members: name, type (partner, partner and board member, board member only), share percentage, tax residence in Poland, and how the board is paid (powołanie, employment, B2B, none). Employees and B2B contractors counts. These answers drive ZUS obligations, the withdrawal advisor and the dividend rules.
4. Activity #
What the company does (services, trade, gastronomy, e-commerce…), where the clients are (Poland, EU, outside the EU), whether you buy services from abroad (import usług), and your business units (MPK): free labels such as "Café", "Catering", "Workshops" that let you see results per line of business.
5. Banks #
One row per bank account: bank, IBAN, currency, type (current, VAT split account, savings). NOB uses them to import statements, to print payment details and QR codes on invoices, and to check that suppliers' accounts are on the biała lista.
6. Documents #
Upload founding documents (articles, KRS extract, VAT-R confirmation…). NOB reads them into the company file (akta stałe) and indexes them so Savia can answer questions about them.
7. Done or not done? #
NOB lists the initial formalities that apply to a company like yours (CRBR beneficial-owner filing, NIP-8, VAT-R, ZUS registration, PCC-3 on the share capital…) and asks for each: Done / Not done / I don't know / Not applicable. Anything overdue appears in Today with instructions to regularise it.
8. Result #
A summary: your profile, the obligations calendar NOB generated, and the first three things to do. From here the daily screen takes over.
Tip Not sure about an answer? Choose the conservative option and ask Savia from the screen ("what does mały podatnik mean for me?"). You can revisit any step; NOB keeps the history.
