Harvest: money, bank, documents and taking money out

Harvest is everything that enters and leaves the company. Its promise: you never book anything yourself. You upload documents and statements and answer plain questions; NOB does the accounting.

The figures #

In, Out, I have, I earned (month and year), Taxes (income tax on the year-to-date base plus this month's VAT). See explanation tells you exactly how each is computed.

The timeline #

One list mixing bank transactions, documents and receipts. The To explain tab shows only what needs you: bank movements NOB could not match and documents waiting for approval. All shows everything.

Importing your bank statement #

Harvest → Import (or the card on the right). Choose the account and upload the file:

  • MT940 (the standard export of Polish banks): NOB reads dates, amounts, counterparties, titles, references and the closing balance.
  • CSV: NOB detects columns; if your bank's layout is unusual, the account settings in Engine room → Bank let you map them.

Duplicates are ignored, the account balance is updated, and automatic reconciliation runs: a transaction is matched to an invoice or sale when amount and date (±10 days) agree and the title or counterparty contains the number or name. Matched transactions are marked reconciled and the invoice or sale becomes paid. The rest wait in To explain.

"What is this?" #

Open an unexplained transaction. Instead of accounts and codes you see human options; each becomes the right posting.

You chooseNOB does
Payment of an invoice I already havelinks to the invoice and marks it paid
Company expense, but I don't have the invoice yetrecords it as pending; reminds you until you upload the invoice (without one it is not deductible)
Tax or ZUSbooks a payment to the tax office or ZUS and closes the obligation
Money for a partner (reimbursement, loan, pay)books it with its legal cause in the partner's account
Personal expense paid with company moneybooks a receivable from the partner, not a company cost
Bank feedeductible financial cost
Transfer between my own accountsinternal, no effect on results
Payment from a clientlinks to the sale or invoice and marks it paid
Money from a partner (contribution or loan)liability to the partner or capital, not revenue
Refund from a supplierreduces what was paid to that supplier
Other incomeinterest, grant, compensation… booked as other operating income

Save and next moves through the list. Every answer also closes the auditor's warning about that transaction.

The document inbox #

Harvest → Upload document (also on Today). Drop PDFs, KSeF XML files or text files: purchase invoices, receipts, contracts, statements. What happens next, within a minute:

  1. Reading. KSeF XML is parsed exactly (no AI). PDFs and text are extracted with Ghostscript and read by the AI with a strict schema (seller, buyer, dates, lines, totals, VAT rates, payment details, a one-line description). No number is invented: if it is not in the document, it is empty.
  2. Validation. NIP checksum; the buyer must be your company; sums must agree; duplicates; the seller's VAT status and bank account on the biała lista (live query); import of services from abroad; fixed-asset threshold; the shareholder-resolution threshold for large contracts; keyword checks. Each check is green, yellow or red.
  3. Classification. Your precedents first, then supplier defaults, then keyword rules with diacritic folding, and only then the AI proposes a category and business unit with a justification. A confidence score summarises it all.

You get a document page showing What NOB read, the checks, and the proposal (category, business unit, deductible or not, VAT deduction share, fixed asset yes/no, who paid). One button, Approve, posts everything: journal entry or KPiR line, VAT register, fixed asset with its depreciation plan if applicable, partner account if a partner paid, a precedent, and the index for Savia. Reject with a reason, Reprocess after fixing the file, or Reopen an approved document to undo its posting (a red storno entry keeps the audit trail).

Tip High confidence means "one tap". Lower confidence means "read the yellow lines first". The AI's own remarks are shown only when a check is not green.

Taking money out of the company #

Harvest → Take money out. Five questions: how much, for whom, what for, will there be an invoice in the company's name, is it a company or personal expense. NOB ranks the legal routes for your case and recommends the cheapest:

RouteWhen it is best
Reimbursement of what you advancedno tax at all: the company returns your money
Company expensewith an invoice in the company's name it is a deductible cost (and VAT recoverable if you are an active payer)
Owner's withdrawal (sole traders)the money is yours; you already pay tax on profit
Board pay by appointment (powołanie)PIT scale, no social ZUS, deductible for the company; needs a resolution
Rent to the companyif you rent premises or equipment to it; needs a contract
Loan from the companypossible but with interest and formalities
Company expense without proofnot deductible: the company pays tax on it
Dividend19 % after CIT; blocked until the first financial statements are approved

Each route shows what you receive, the total tax cost, the company's saving, the requirements, and the alternatives. Record this withdrawal books it with its legal cause and, when a resolution is needed, drafts the uchwała for you to sign.

Balance #

Harvest → Balance: twelve months of revenue and costs, per business unit (MPK), from the ledgers.
